Keep a Philippine gym’s daily records together.
A Philippine gym’s front desk needs clear membership dates, an access check at entry and a reliable record of received payments. Fitness Vault’s Philippine setting uses PHP for its sample amounts and software pricing display. Start by testing the workflow with fictional records.

Start with a usable member list
If your contacts are spread across a logbook and spreadsheets, choose one list to review before importing. Check each member’s name and usable contact details. Keep similar names separate and remove duplicate entries only after confirming they refer to the same person.
Fitness Vault can import member contacts from CSV. Assigning a membership, recording a payment and checking in a member are separate actions. A contact import should not be treated as proof that someone has paid or has current access.
Keep peso entries tied to the payment you received
Record the amount, date, member and payment method when money is received. If a member pays through an external wallet, bank or card service, confirm receipt in that service before entering it in the gym record.
Recording an e-wallet or bank payment does not connect Fitness Vault to that provider. The sample does not process GCash, Maya, bank transfers or card charges. Reconcile recorded entries with the actual payment evidence.
Give the next shift a clear renewal queue
A staff member taking over should see who is due, what was last said and what happens next. Review upcoming memberships, copy a message for the member and log the response after your team sends it through its usual channel.
The renewal guide includes a fictional message and a handover checklist. Automatic message delivery is not part of this workflow.
Close with records and cash in agreement
At closing, review membership collections, retail entries and expenses. Separate cash from other payment methods, count the cash physically and investigate differences before handing over.
The daily closing guide explains how to reconcile a fictional day. Software reports support your review; receipts, tax records and any required filings still need the process appropriate for your business. These guides do not establish tax or regulatory compliance.
Try the same shift before changing your process
Select Philippines in the homepage’s country setting to view PHP examples. Open the sample gym and move from member records to check-ins, renewals and closing. Ask a staff member to repeat the route and note where an explanation is needed.
The real gym account is on a separate application. Confirm current access, backup procedures and software terms before bringing real member information into the beta.
Try the next shift in the sample.
