Close the gym’s day with figures you can explain.
Gym daily closing compares the day’s recorded transactions with the money and payment evidence actually available. Review membership and retail entries, separate payment methods, account for expenses and opening cash, then investigate any difference before handing over to the next shift.

Set the date and the closing boundary
Agree which day and shift you are closing. Check that staff used the correct transaction dates and distinguish a payment received today from an earlier entry. A report for the wrong date can look balanced while leaving the current day incomplete.
Keep opening cash or float separate from income. Your team needs to know whether a figure represents collections, expenses or money left in the drawer from the start of the shift.
Review received payments by method
Review membership collections and retail sales. Compare cash entries with receipts or the shift record. Compare external wallet, bank and card entries with the relevant payment evidence.
Recording a payment method in Fitness Vault does not settle a payment or connect to that provider. Confirm that money arrived before recording it as received. Check duplicate, missing or incorrectly dated entries before changing a closing figure.
Reconcile a fictional cash drawer
Suppose a fictional gym starts with ₱1,000 in float, receives ₱4,500 in cash and pays a ₱500 cash expense. With no other cash movements, the expected drawer is ₱5,000: opening float plus received cash minus cash paid out.
| Entry | Amount |
|---|---|
| Opening float | ₱1,000 |
| Cash received | + ₱4,500 |
| Cash expense paid | − ₱500 |
| Expected physical cash | ₱5,000 |
If the physical count is ₱4,900, the difference is ₱100 short. Check evidence and recount before deciding why. An expense paid by bank transfer would not reduce the cash drawer in this example.
Investigate a difference instead of hiding it
- Recount cash and verify the opening float.
- Check whether a payment was recorded under the wrong method.
- Review cash payouts, retail transactions and missing receipts.
- Look for duplicate or wrong-date entries.
- Record any unresolved difference and who will review it.
Do not enter an invented expense to force the total to match. Keep the original evidence available and follow your gym’s correction process.
Prepare the next shift’s handover
Record who performed the count, what was compared and which exceptions remain open. Export or back up records according to your gym’s process. Hand over physical cash through the arrangement agreed by the owner and staff.
Fitness Vault’s closing view helps review recorded figures. It does not replace bank statements, accounting records or tax advice. The fictional example here explains arithmetic and does not establish a reporting requirement for your location.
Try a closing review
Open sample daily closing and compare its figures with the fictional payment and expense entries. Then ask which evidence your team would need beside each figure at a real close.
For the earlier parts of the day, use the check-in guide and renewal guide.
