Check the member. Confirm access. Record the visit.

A gym check-in process should establish who has arrived, whether their recorded membership permits access and whether today’s visit has already been recorded. Keep those checks together so staff can resolve an exception before confirming entry.

Find the right person first

Search by name, phone or email and verify the result with the member. Similar names deserve a second check. Avoid reading another person’s contact information aloud at a busy desk.

In the Fitness Vault sample, search for a fictional member and choose the matching record. An ID or compatible scanner input can help identify a record, but identification is only the first step. It does not establish current access.

Check the membership dates and status

Review the plan, start date, end date and access status before confirming the visit. A future start date is different from an expired membership. A recorded freeze also needs attention under your gym’s access rules.

If the record looks wrong, pause and ask the person authorized to resolve it. Do not create a duplicate member to get past a date problem. Correct the underlying record through your normal review process.

Confirm one daily visit

Once the member and access are correct, confirm the check-in. The sample records one check-in per member per day. Check the attendance list if staff are unsure whether an earlier shift already entered the visit.

That daily count is a record of visits, not a live occupancy count. It does not tell you who is still on the training floor, and it should not be used as a substitute for your gym’s safety procedures.

Handle common exceptions consistently

Practice the handover

  1. Open sample check-ins and find a fictional member.
  2. Review the access message before confirming.
  3. Check the attendance list for the recorded visit.
  4. Repeat with a record that needs a date or renewal review.

Let the next shift repeat the process using the same instructions. If a renewal is needed, use the membership renewal workflow so the conversation and record change stay connected.

Does check-in require camera QR scanning?

The demonstrated front-desk flow works through member search and selection. The supplied workflow also accepts a member ID or compatible scanner input. Camera QR scanning is not included in this demonstrated flow.
